  1. Start with the right brief.

Product, specifications, quantity, destination and timing. We clarify the requirement before approaching suppliers.

  2. Know who makes your goods.

Identify suppliers, assess capability and arrange samples. Compare quality and suitability, not just the lowest offer.

  3. Agree before you commit.

Compare quotes, negotiate pricing and confirm the order. Set payment terms, milestones and responsibilities in writing.

  4. Inspect before it leaves.

Check production against agreed specifications. Record inspection findings, identify defects and coordinate corrective action.

  5. Prepare goods and paperwork together.

Coordinate protective packing, shipment marks, invoices and packing lists. Check the documents required for the product and destination.

  6. Connect the people moving it.

Coordinate freight bookings, forwarder and broker handoffs, and export-clearance requirements. Keep owners and next actions clear.

  7. Follow more than a departure date.

Track shipment milestones and communicate changes. Coordinate responses when a document, carrier or delivery plan needs attention.

  8. Finish at the agreed handoff.

Coordinate arrival and delivery within the contracted scope. Reconcile documents and confirm completion with the receiving party.

About

Before you send an RFQ.

  • What should I include?RFQ and scope

Share the product, specification, quantity, destination and target date. If you have samples, quality criteria or preferred Incoterms, mention those too. You can start with an incomplete brief; the missing details need clarification before a firm quote.

  • Can you work with my existing supplier?Sourcing and verification

Include your supplier and the support you need in the enquiry. The scope may focus on inspection, documentation or shipment coordination rather than new sourcing, subject to review.

  • Does a quote include duties and delivery?Negotiation and order confirmation

Not automatically. The quotation and agreed Incoterms should identify freight, insurance, customs responsibilities, duties and the delivery point. Ask for exclusions as well as inclusions.

  • Can you guarantee customs clearance?Logistics and clearance coordination

No. Authorities determine clearance and may request additional information or inspections. Requirements depend on the goods, destination and applicable rules; coordination does not replace regulatory approval.
